Owners and units management

The most important task of a chairman in OpenResi is to keep the list of owners and units up to date — only then can votes, RSVPs, and announcements work correctly.

Where to find it

In the side menu click "Owners" (Owners and users). A list of all users in the building opens, divided into three tabs:

Two ways to add an owner

Method 1: Manually adding a single owner

Suitable for changes of ownership (sale of a unit, inheritance).

1. In the "Owners" section click "Add owner"
2. Fill in:

3. Save. OpenResi automatically sends an invitation email with an activation link (valid for 14 days).

Method 2: Bulk import from the Cadastre (LV title deed)

Suitable when setting up a building in OpenResi or for large-scale changes.

1. In Admin → Import open the wizard
2. Choose the building structure:
   • Community → Unit (one entrance, flat hierarchy)
   • Community → Entrance → Unit (multiple entrances)
   • Community → Block → Entrance → Unit (complex compounds)
3. Fill in building details (name, address, company ID)
4. Upload the file:
   • PDF title deed from the Cadastre — OpenResi extracts names, unit numbers, and shares automatically
   • CSV or XLSX according to the prepared template (download it in the wizard)
5. Review the table — you can edit cells directly in the grid, add and delete rows
6. Preview and validation — OpenResi alerts you to errors (missing fields, shares not summing to 1/1, duplicates)
7. Confirm import — the whole building structure plus shell accounts for all owners is created

Shell accounts

Bulk import creates so-called "shell accounts" — an owner record without sign-in credentials. The owner activates (claims) the account by clicking the invitation in an email or by scanning a QR code.

Activating a shell account

An owner in shell state does not yet have access to the app. To gain access:

Option A: Email invitation

1. In the owner detail click "Send invitation"
2. Enter the email (if not yet present)
3. OpenResi sends an activation link (valid for 14 days)
4. The owner clicks, sets a password — see First sign-in

Option B: QR code (registration QR invitation)

Suitable for use at a meeting or for distributing flyers.

1. Open Settings → Registration QR
2. Generate a new QR code with a configurable validity
3. Print / send to the owner
4. The owner scans the QR, and the registration page pre-fills their unit and share

Editing an owner's data

Click an owner's name in the list. A detail opens with a form:

• Basic data — name, email, phone
• Role — you can promote the owner to vote counter or chairman
• Unit assignment — add/remove a unit, edit share
• isActive toggle — deactivate the account (the owner can no longer sign in, but history is preserved)

Deletion vs. deactivation

Never delete an owner who has ever voted. Their votes would be left without a link to a person and the meeting minutes would lose integrity. Instead, deactivate them — the record remains, but the account is no longer functional.

Co-ownership (multiple owners per unit)

If a unit has multiple owners, each one is added as a separate user with their own share:

OpenResi automatically checks that the sum of shares for a unit = 1/1. With a bad combination it shows a warning.

Merging duplicate records

During import a duplicate may arise — for example, the same owner was added both manually and via the Cadastre.

In the owner detail there is a "Merge with shell account" button — OpenResi joins the two records into one, preserving voting history, contact details, and the activated account.
